UC2: Supplier evaluation · stage: design

Qualify your suppliers on data. Not on memory.

Supplier knowledge often lives in the head of one experienced buyer, and leaves with them. Dundir is designing a supplier record built from your own procurement history, so that knowledge stays.

The problem

Certificates expire, and their dates sit in emails and folders. Someone remembers them, until that person is on holiday, ill, or gone.

On large Dutch infrastructure projects, fewer than 5% of staff see the project through from start to finish, one interviewee in a TU Delft study estimates. What they knew about suppliers goes with them.

<5%

of staff on a large infrastructure project experience it from start to finish

An interview statement in the study, not a measured rate. It is why the design keeps supplier performance and certificate status as data rather than memory.

The design

pricereliabilitycertificationCO₂supplier Asupplier BKOMOexpiry
Suppliers on four criteria, certificates with their expirydesign
  • Certification management: KOMO, SKG-IKOB, Kiwa and other certificates per supplier, with their expiry dates and a warning before they lapse.
  • Performance history: Each finished order is meant to add a line: on time or not, to specification or not, which deviations were recorded.
  • Structured scoring: Price, reliability, certificate status and sustainability, with the data behind each score visible and exportable.
  • Pre-qualification: For a new tender, a shortlist of suppliers that meet the hard requirements, before certificates are requested by hand.

What the pilot has to show

Whether a record built from your past orders and certificates gives your buyers a better starting point for the next tender than memory and email do. The record grows with each order; nothing is in it until your history is.
